Common mistakes I see at receiving
I'm a quality compliance manager at GE's transformer business. I review every large power transformer, distribution transformer, and protective relay package before it leaves our facility—roughly 200+ unique units a year. In our Q1 2024 quality audit, we flagged 7% of first-pass shipments for documentation mismatches. That number sounds small, but when one transformer costs the customer a day of crane rental, it's not a small thing.
This checklist is for anyone who has just received a GE transformer or GE Multilin 850 transformer differential relay and wants to verify it before installation. Use it as your receiving inspection. It is not a substitute for commissioning tests.
Before you start: get the correct manual
You can't verify what you can't reference. Before the truck arrives, gather three things:
- Your purchase order and the final approved drawing
- The GE distribution transformer manual PDF for the exact platform you ordered
- The approved relay setting file if the order includes a GE Multilin 850 transformer differential relay
The manual PDF matters more than you'd think. Many same-looking transformers have different options like auxiliary voltage, oil preservation system, or bushing type. The model family name doesn't tell you everything. If you have the wrong manual or an old revision, you can easily misidentify a terminal or a maintenance interval.
Step 1: Compare the nameplate against your PO
On the receiving dock, take a clear photo of the nameplate. Then compare it line by line with your purchase order. Not just the catalog number—also the kVA/MVA rating, primary and secondary voltages, impedance, cooling class, oil type, and serial number. Confirm the serial number on the nameplate matches the one on the test report. If it doesn't, stop and call your GE contact.
From the outside, a crate with no visible damage looks like a successful delivery. The reality is that the most expensive mistakes are often invisible. In 2023, a customer called us because their GE distribution transformer had the right model number on the crate, but the nameplate showed a different tap changer configuration. It was a rare miss, but the delay cost them a week of project schedule. The issue was caught because they checked the nameplate before lifting the unit.
Step 2: Verify GE Multilin 850 differential settings and firmware
If your transformer order includes protection, the most important check in this article is verifying the relay settings. The GE Multilin 850 transformer differential relay is flexible, which means the settings have to match your transformer's exact winding configuration. A generic setting file can make a healthy transformer look like it has an internal fault.
Before energizing:
- Open the approved relay setting file and compare it to what's actually in the relay.
- Check CT ratio, VT ratio, phase compensation, vector group, pickup, slope, and harmonic blocking settings.
- Record the relay firmware revision and compare it with the factory test report.
Firmware matters more than people assume. Two relays with the same model number can behave differently if the firmware revisions differ. In my first year in this role, I made the classic assumption that a spare relay with the same catalog number would ship with the same settings as the unit being replaced. It didn't. The differential current was unstable in bench testing, and the only reason we caught it was that the technician did a full settings readback before connecting it to the transformer.
Step 3: Check your temporary power source—outlet types and surge protection
This is the step I rarely see on standard receiving checklists. Before you bench-test a relay or power up the control panel, check your temporary power source.
Electrical outlet types are not all the same, even when a plug fits. A 5-15 receptacle is rated for 15 A; a 5-20 looks similar but is rated for 20 A and has a different neutral blade. If you overload a 15 A circuit through a multi-adapter, you can trip breakers or damage test equipment. In an industrial setting, you may also see L5-20 or L6-30 twist-lock outlets. Always verify the supply voltage and current rating before connecting your equipment.
Also, understand the power strip vs surge protector difference. A power strip only adds additional outlets—it does not clamp voltage spikes. A surge protector contains a component designed to absorb high-voltage transients. When I'm running a relay test set, a laptop with GE software, or any precision instrument, I use a surge protector with an appropriate joule rating and a protected ground indicator. Don't trust an ordinary power strip with a $15,000 relay test set.
Step 4: Operate the manual power transfer switch
If your order includes a manual power transfer switch, don't inspect it only visually. Move the handle through all positions at least once. Listen for a clear mechanical snap, verify the position indicator matches the actual contacts, and confirm the interlock prevents both sources from being connected at the same time.
I get the temptation to leave the switch strapped in the crate until installation. But a switch can be damaged in transit even when the box is intact. The mechanism can jam, or a spring can shift out of place. Checking it takes less than a minute and can save you from a backfeed event during commissioning.
Step 5: Document everything and file non-conformances immediately
After you've checked the nameplate, relay settings, power source, and transfer switch, take photos. Photograph the crate ID, nameplate, relay display, transfer switch label, and any visible damage. If anything is missing or does not match the PO, mark the delivery receipt as received subject to inspection. Then send a non-conformance note to your supplier within 24 hours.
A common mistake is signing the freight receipt before inspecting because the driver is waiting. A signed receipt can weaken your freight claim, especially for hidden damage. We would rather have our customer spend an extra 20 minutes on the dock than file a claim after the transformer is energized.
When this checklist isn't enough
I want to be clear: this is not a commissioning checklist. It will not detect winding moisture, internal damage from rough handling, or incorrect relay coordination with the rest of your system. If the transformer has been in storage for more than six months, or if the shipment experienced any unusual shock or vibration event, add insulation resistance, transformer turns ratio, and DGA tests before energizing.
And if you don't feel confident verifying a differential relay setting file, that's fine. I'd rather answer a question before startup than troubleshoot a false differential trip later. Call GE services or a relay engineer for support.
Common mistakes I see at receiving
- Assuming a power strip and a surge protector are the same thing.
- Skipping the nameplate serial-number check because the crate looks fine.
- Trusting a relay that was loaded at the factory without performing a settings readback.
- Using an outdated GE distribution transformer manual PDF to verify connections.
- Not operating a manual transfer switch before installation.
Granted, this checklist adds 20 or 30 minutes on a loading dock. I'd still rather spend that 30 minutes than explain why a mislabeled transformer was set in place. Most receiving issues are preventable—the point is to be curious and slow enough to catch them.
