Common Mistakes I Still See on Purchase Orders
I approve or reject purchase orders and incoming deliveries for a living. I'm a quality and compliance manager at an electrical equipment distributor, and in Q1 2024 I rejected 11% of first deliveries because the specs didn't match what was actually required. This isn't about being picky. It's about not paying twice.
This checklist is for anyone who buys, specifies, or receives electrical equipment—whether that's a large GE transformer for a substation, a current transformer from the GE current transformer catalog, a voltage sensitive relay, an Aqualink RS8 control panel, or even a surge protector for a mini fridge. Different sizes, same discipline.
Here are the seven checks I run before I sign off on anything.

1. Read the nameplate like it's a contract
Most buyers focus on the model number and completely miss the nameplate details that determine whether the unit can survive its application. The model number is the beginning, not the end. What I mean is: verify the actual electrical data before you compare prices.
For a GE transformer, I want to see kVA, primary and secondary voltage, impedance, cooling class, tap range, insulation class, and sound level if the installation requires it. For current transformers, the GE current transformer catalog lists ratio, burden, accuracy class, and thermal rating factor. If you don't verify those four, you're guessing.
In our Q1 2024 audit, we found six purchase orders out of 78 with the wrong secondary voltage tap. That's an 8% error rate. None of those were caught at the ordering stage.
2. Verify protection and relay settings before installation
A transformer can be perfect when installed and still be a liability if the protection relay isn't set correctly. This is where a voltage sensitive relay comes in.
A voltage sensitive relay is basically a gatekeeper: it watches line voltage and opens the circuit when voltage goes outside the set range. But you need to check the setpoints, hysteresis, time delay, and contact ratings. Don't assume factory settings are right for your application.
In 2023, we tested two 'identical' voltage sensitive relays side by side. One had 2% hysteresis; the other had 10%. When I compared the two on the same test bench, I finally understood why the datasheet matters more than the part number. That difference can turn a nuisance trip into a costly shutdown.
3. Confirm control panel compatibility down to the firmware revision
Let me rephrase that: model names are not specifications. We processed two returns last month because the new Aqualink RS8 control panel didn't match the existing load center board revision. Same model name, different wiring diagram.
Before ordering, ask for the board revision, firmware version, transformer voltage, valve actuator voltage, and the number of auxiliary relays. Oh, and don't let anyone say 'it's the same panel' without showing you the compatibility table in the manual.
4. For surge protection, judge by ratings, not by the number of outlets
Here's the question I get weekly: can I plug a mini fridge into a surge protector? Yes, if the surge protector is rated for a compressor load. But the word 'surge protector' on the package doesn't tell you the whole story.
A mini fridge has a compressor, and a compressor draws a startup surge that can be three to five times its running current. If the surge protector is a cheap power strip with a tiny MOV, it might not handle the inrush and still provide protection. Check the UL 1449 rating. According to UL 1449, surge protective devices are tested for voltage protection rating and nominal discharge current. Those numbers matter.
I only believed the joule rating mattered after ignoring it once and watching a compressor die. The replacement compressor cost more than the fridge.
5. Use the current catalog, not an old PDF
Outdated documentation is a quiet total cost killer. We once ordered from an old GE current transformer catalog PDF stored on a file server. The part had been superseded, the distributor charged a 25% restocking fee, and we lost 10 days waiting for the correct CT. Nobody was trying to be incompetent. We just didn't verify the revision.
The GE current transformer catalog is updated for reasons. Ratios change, accuracy classes change, physical dimensions change. Same for Aqualink RS8 documentation and voltage sensitive relay datasheets. Verify the revision date before you send the PO.
6. Calculate total cost of ownership, not unit price
I'll be blunt: if you choose equipment by lowest quote, you're not comparing prices. You're comparing starting bids.
Total cost of ownership = purchase price + freight + installation + commissioning + spare parts + downtime risk + maintenance + disposal.
Example: a $500 relay quote became $800 after programming, shipping, and commissioning calls. The $650 quote with local support and no surprise fees was actually cheaper. I now calculate TCO before comparing any vendor quotes.
For a GE transformer, the same logic applies. A lower upfront cost can disappear under the cost of a missed deadline, an extra crane call, or an engineer's site visit.
7. Put the verification step in the purchase order
The third time a wrong part arrived because someone changed a date in an email without updating the PO, I finally created a formal 'spec changes go on the PO' rule. Should have done it after the first time.
Now every PO includes the catalog name, revision date, exact model, nameplate values, and this phrase: no substitutions unless approved in writing. That phrase has saved us more money than any volume discount.
Common Mistakes I Still See on Purchase Orders
- Using 'industry standard' without naming the standard. Name it: IEEE C57.13 for current transformers, UL 1449 for surge protectors, or the OEM data sheet.
- Accepting a screenshot of a spec sheet as the source of truth. Get the actual PDF and check the revision.
- Approving a substitute because it's 'basically the same.' If it's basically the same, the vendor can put the exact specs on the PO.
- Ordering by model number alone when there are multiple voltage and control configurations.
The point of this checklist is not to make yourself difficult. It's to make the spec clear enough that the person on the receiving dock doesn't have to guess. When in doubt, put it in writing. The act of writing it catches the inconsistency.
