When I first started handling purchases for a 200-person industrial services company, I thought the hardest part was finding a supplier. It wasn't. The hardest part is making sure every piece of the system arrives — including the odd parts that don't come in the same box.
I manage roughly $400,000 in annual orders across 8 vendors, and I've learned that a missing control panel or a mismatch in lead time can cause more damage than a slightly higher price. If you're the person who handles POs for transformers, relay protection, or control panels, this checklist is for you. It has 7 steps, takes about 15 minutes to run through, and has saved me from at least three major delays.

Step 1: Scope the whole system, not just the transformer
Start with the big item, but don't stop there. A transformer order often includes a GE Vernova current transformer, a protective relay (the GE Multilin 850 is common), and sometimes a power pole battery charger for remote sites. If the equipment sits on a mobile skid or trailer, you may also need a Bigfoot leveling system control panel. I've seen a 2-week delay because nobody ordered the leveling control panel until after the trailer arrived.
So write down every visible component in the system diagram. If you don't scope it now, you'll end up with a second PO and expedite fees. Also, our ERP still uses the legacy code ge-transformer as the category label, but the actual model number is what matters.
Step 2: Verify the exact model and product line
'GE transformer' is not a part number. You need the kVA rating, voltage ratio, impedance, cooling class, and the exact product line. 'GE Vernova current transformer' is also a category, not a spec. You don't need to be the technical expert, but you do need to put those details into the PO and get approval from your engineer. This avoids the classic mistake of ordering by brand alone.

This is the step almost everyone skips: verify where the product will be made. GE transformer manufacturing locations are not all the same. Some plants build custom power transformers; others focus on distribution transformer lines. The factory affects shipping lead time, packaging, paint color (yes, really), and even country-of-origin documentation.
I once ordered two items at the same time, assuming they'd ship from the same location. They didn't. The relay came from a domestic plant; the transformer came from overseas. That difference turned a 2-week delivery into a 6-week one. Now I always ask: 'Which plant is this coming from? Please note it on the quotation.' If you're ordering for a utility project with local content requirements, country of origin can even affect eligibility.
Make this a routine check, not an afterthought.
Step 4: Get documentation and invoicing in writing
As the person who processes invoices, I'm picky about paperwork. A vendor once quoted a great price on a power pole battery charger. I placed the order, but they couldn't provide a proper commercial invoice — only a handwritten receipt. Finance rejected the payment, and the 'great deal' cost me hours of reconciliation.
For any electrical equipment order, make these documents a condition of the PO: commercial invoice, packing list, test certificates, and for transformers, the factory test report. Also get serial numbers and manuals filed for future reference. If a vendor says 'we'll send it later,' ask exactly when. Later is often never.
Step 5: Clarify controls and PLC integration
If this is for a manufacturing facility, the control side is usually where schedules go to die. You might hear the word 'PLC' and wonder if you're supposed to know what that is. In purchasing terms, the important question is: does the control panel include a PLC? If not, who supplies and programs it?

Also order spare fuses, small controls, or a spare relay module if the application is critical. I know it's tempting to save money by ordering only what's needed right now. But with overseas shipments, the replacement part can take months. A small spare kit is cheap compared to waiting.
Common mistakes to avoid
- Don't buy on price alone. A transformer is a 25-year asset. The cheapest quote can become the most expensive when you add downtime and premature failure. (And if a vendor promises 'zero maintenance,' walk away.)
- Don't assume freight is included. Confirm the incoterm and who pays for the truck crane at the receiving point.
- Don't skip the test report review. If the report doesn't mention IEEE C57.12.00-2021 or IEC 60076-1, find out why. It doesn't mean it's bad; it means someone needs to verify it.
- Don't rely on verbal confirmations. Get the lead time, shipping point, and documentation requirements written into the PO. 'As soon as possible' means different things to a salesperson and a buyer.
- Don't ignore serial numbers. Record them and store them in a shared folder. Future maintenance will thank you.
Five years ago, I thought buying electrical equipment was about getting three quotes and picking the lowest one. It isn't. It's about scoping the whole system, verifying the factory, and making the vendor answer every question in writing.
The fundamentals — know your exact requirements, confirm the source, document everything — haven't changed. But the execution has: product lines shift, factories move, and supply chains stay fragile. What was best practice in 2020 needs updating in 2025. A checklist won't make you an engineer, but it will make you a much safer buyer. And for an administrator, that's a good week.
